The Role: Business Systems & Data Analyst

Location: Oxford-based, hybrid working model
Contract: Full-time, Permanent
Hours: 37.5 hours per week (Monday–Friday) with occasional flexibility to support UCISA events
Salary: £45,000–£50,000 per annum (dependent on experience and skill set)
Leave: 30 days annual leave plus 8 bank holidays
Pension: Defined Contribution Scheme (employer contribution of up to 6.7%)

As Business Systems & Data Analyst, you will report to the Head of Operations & Special Projects and lead UCISA’s efforts to optimise the use of business systems, improve data management, and derive insights to inform decision-making. This role involves a mix of technical expertise, project management, and stakeholder engagement to enhance how UCISA serves its members.


Key Responsibilities

Business Systems

  • Analyse business processes, user needs, and system requirements to identify opportunities for improvement.
  • Translate business requirements into clear system configurations and specifications.
  • Lead the management and enhancement of UCISA’s business systems in partnership with external technology providers.
  • Plan and oversee system updates, ensuring changes follow clear change control processes.
  • Manage the end-to-end implementation of new processes, including budgeting, resource allocation, and change management.
  • Provide staff and members with system training, create user documentation, and oversee the rollout of collaboration platforms (e.g., Microsoft Teams for community groups).

Data Management

  • Use data science methodologies to analyse structured and unstructured datasets, extracting insights to improve organisational decision-making.
  • Manage data integrity and serve as the gatekeeper of UCISA’s data assets, ensuring compliance with GDPR and other data governance standards.
  • Design and produce user-friendly dashboards, reporting frameworks, and insightful visualisations to support decision-making at all levels.
  • Oversee data quality and collaborate with stakeholders to maintain accuracy and usefulness of system data.

IT Operations

  • Collaborate with the Head of Operations to maintain IT policies, enforce security standards, and ensure compliance with regulations.
  • Liaise with external IT service providers to address technical challenges, ensuring timely communication and resolution of issues impacting systems.

What We’re Looking For

Essential Skills & Qualifications:

  • A degree in a relevant field (e.g., Computer Science, Information Technology) or equivalent experience.
  • Demonstrated experience in a Business Systems Analyst or similar role, managing, analysing, and reporting on business data in digital environments.
  • Advanced Excel skills (e.g., pivot tables, combining datasets) and proficiency in data analysis tools.
  • Proven ability to manage complex projects involving diverse stakeholders, including external technology partners.
  • Familiarity with GDPR policies, data governance, and working with confidential data.
  • Strong experience in building user-friendly dashboards and data visualisation products (e.g., Power BI or Tableau).
  • A track record of balancing competing priorities and meeting deadlines in a fast-paced environment.
  • Excellent interpersonal and communication skills, including the ability to translate technical information into non-technical language.
  • Proficiency in using Microsoft Office 365, Dynamics, SharePoint, and Teams to support collaborative working environments.

Desirable Skills & Experience:

  • Familiarity with CRM systems or events management platforms.
  • Certification as a Database Administrator Associate (e.g., Microsoft SQL or Oracle).
  • Experience with statistical techniques and their application in a business context.
  • Knowledge of or experience in member-led organisations or the higher education sector.
  • Background in training and advising non-technical users on digital tools.
