Position: Fixed-Term Role (4 years)
Work Location: BAS Cambridge, with potential brief visits (up to 4 weeks) to Antarctic research stations. Regular work practice will involve a hybrid approach – 60% at BAS Cambridge and the rest from home.
Context
The British Antarctic Survey (BAS), under the Natural Environment Research Council (NERC), has proudly received the RRS Sir David Attenborough, a new polar research ship. This acquisition is part of a massive £300 million investment drive, which also encompasses various terrestrial infrastructure enhancements such as wharf refurbishments and service upgrades at research facilities. These initiatives form the Antarctic Infrastructure Modernisation Programme (AIMP). The AIMP is now advancing to its subsequent stage, with around another £300 million budgeted for the coming decade. The programme aims to heighten air capabilities, infrastructural advancement, Rothera Research Station’s decarbonization, and establishing a novel zero-emissions station at Signy. Each project is deeply rooted in ecological conservation, renewable energy, and sustainability principles.
NERC/BAS has engaged long-term collaborative contracts with a Technical Advisor and Construction Partner for the successful execution of this demanding endeavour.
AIMP’s undertakings are pivotal to the government’s capital investment in sustainable and efficient infrastructure. Concurrently, BAS is undergoing a transformative phase to optimize resource usage, extract the value from capital investments, and amalgamate BAS’s operational systems and capabilities with broader organizational functions. Efficient information management within AIMP is key for the digital facilitation of projects and for spearheading an efficiently managed, digitally-oriented post-construction estate that also meshes with other BAS business systems.
Within the AIMP’s Project Management Office (PMO), the position at stake involves collaborating with the AIMP Senior Information Manager to execute and advance the AIMP Information Management Strategy, overseeing information handling and creating information management protocols within the AIMP.
Responsibilities:

Oversee the entirety of the AIMP’s information and related projects.
Enhance the capabilities of the BAS AIMP SharePoint and MS Teams platforms, ensuring effective life cycle management of AIMP data.
Formulate and enforce information management procedures for the AIMP SharePoint and MS Teams, including the processes surrounding acquisition, storage, sharing, archiving, and disposal of data, as well as management of access rights and metadata.
Direct the setup and evolution of the AIMP’s Common Data Environment (CDE), establishing guidelines and processes for administration, data sharing, and implementing collaborative workflow and approval routines where necessary.
Coordinate CDE-related tasks within the AIMP Digital Estates Delivery Project, working in close concert with other information managers and document controllers within the AIMP’s construction umbrella.
Supervise the CDE Document Controller and closely collaborate with the CDE Business Application Support Engineer in managing the CDE.
Conduct regular audits to ensure AIMP’s information quality and adherence to relevant policies, procedures, and standards, especially ISO 19650 standards.
Craft and apply an information security management policy and plan for safeguarding AIMP data in line with Govt and UKRI policies, consistent with BAS’s overarching information security infrastructure.
Facilitate and endorse the training, responsibilities, and consistent use of AIMP’s information management systems among BAS and partner personnel.
Act as the AIMP’s representative on the Information Systems Governance Board and the Digital Strategy Working Group to ensure the incorporation and interoperability of AIMP information management strategies with BAS’s wider organizational information framework.
Collaborate with BAS AIMP team members in executing the Antarctic Infrastructure Modernisation Programme.
Disseminate AIMP developments to the broader community.
Participate in training for the APM Project Management Qualification and ISO standards.

Qualifications and Requirements:

Essential: A diploma/degree or comparable qualification/experience in Information/Data Management or a related technological field.
Desirable: Certification in ISO 19650 Standards.

Experience and Knowledge:

Essential: Previous roles in information management and document control, proficiency with SharePoint and MS Teams or similar collaboration tools, adept at various IT systems, and capable of forging internal and external relationships with excellent communication skills.
Desirable: Public sector experience, BIM and ISO 19650 Standards familiarity, experience with collaborative partnerships, project procedure understanding (especially in construction projects with knowledge of RIBA stages), and proficiency with document control/Common Data Environments like GliderBIM, ASite, ProjectWise, Aconex.

Skills and Competencies:

Essential: Strong planning and organizational acumen, the ability to work autonomously or as part of a team, initiative, independence, and discipline, the capability to organize and prioritize one’s own and others’ workloads, and the ability to form effective relationships across staffing levels and disciplines. Mastery of MS Office Suite, solid presentation skills, fluent written and spoken English, and evidence of successful multidisciplinary team collaboration in and out of project contexts are also required.
Desirable: Experience in staff management, recruitment, and performance review processes.
