Job Title: Systems and Data Manager

Job Purpose:
The Systems and Data Manager will play a key role in enhancing the operational functionality of the Metanoia Institute by facilitating data-driven decision-making, refining business processes, and optimizing software platforms. The position is pivotal for supporting senior support department personnel by delivering personnel and student recruitment reports, as well as providing crucial data analysis for ongoing enhancements. The role encompasses system product management tasks and troubleshooting, while also emphasizing the interpretation of data and the extraction of actionable insights that benefit the organization’s stakeholders.

Key Responsibilities and Duties:

– Understand and communicate best practices related to the institute’s systems to the team.
– Coordinate new systems implementation with supplier account managers and oversee staff training programs on these systems, which includes providing expert guidance, training new staff, and creating instructional materials.
– Aid users and managers in effectively utilizing organizational systems.
– Record, analyze, and resolve system issues in collaboration with supplier account managers or through in-house efforts.
– Communicate with supplier account managers on necessary improvements or innovative features, and stay updated on system updates and advancements.
– Monitor data integrity within systems and manage data uploading as necessary.
– Execute data imports/exports, cleanse data for analysis, and communicate findings to stakeholders.
– Create data dashboards to facilitate reliable, accessible information.
– Manage data collection, storage, and accessibility compliant with current legislation.
– Consolidate and cleanse data from diverse sources, addressing inaccuracies and inconsistencies.
– Design, administer, and analyze surveys.
– Catalog and archive data records properly.
– Seek opportunities to enhance data utility for wider analysis purposes.
– Document and review current data processes, systems, and practices.
– Identify and recommend process improvements to the Head of Operations.
– Collaborate with team members and various departments within the Institute to cultivate strong working relationships.
– Develop and maintain a comprehensive understanding of the Institute’s offerings for effective stakeholder collaboration.
– Provide system-related training within the department to enhance independent operation.

Essential Skills and Experience:

– Degree-level education.
– Further education or equivalent experience in data or analytics.
– Proficiency with specialized software packages.
– Solid expertise with standard IT tools, CRM systems, and databases.
– Understanding of higher education sector dynamics.
– Knowledgeable in guideline interpretation and specific application.
– Familiarity with data analysis and operational performance metrics.
– Demonstrated experience in a similar role.
– Capability to train and mentor individuals in efficient system use.
– Experience with higher education virtual learning environments, such as Moodle/Blackboard.
– Skilled in creating data dashboards to guide decisions.
– Strong customer service and stakeholder engagement skills.
– Highly effective communication abilities.

– Excellent time management and prioritization skills.
– Proficient in critical thinking and managing concurrent tasks.

– Knowledge of Student Information Systems like Quercus or other related higher education systems.
