Department Overview
The Timetabling team is responsible for the management, development, and maintenance of the university’s timetabling services. This includes overseeing the central timetabling system, Scientia (TechnologyOne). Working in a dynamic and fast-paced environment, the team plays a critical role in producing the university’s annual academic timetable—from data collection to allocating individual student schedules and performing ongoing updates.
The team combines technical proficiency in managing the timetabling system with the ability to collaborate effectively with IT teams, system users, service users, and process owners. They work closely with stakeholders across the university to shape policies related to timetabling, while also managing and maintaining associated systems and tools. Additionally, the team is tasked with producing operational reports for quality assurance and ensuring that university staff are equipped with guidance, processes, and training to fully utilise the system.
The Role
This position is pivotal to the management and delivery of the university’s timetable services, deputising for the Head of Timetabling. The role involves overseeing the day-to-day operations of the timetabling team to ensure an excellent experience for staff and students.
With oversight from the Head of Timetabling, the post-holder will manage the build and ongoing maintenance of the university timetable and associated systems. They will also directly supervise Timetabling Officers, ensuring high-quality timetable production, driving continual process improvement, and optimising estate usage.
Key responsibilities include supporting and developing team members, particularly as the department transitions to a new approach to timetable creation. Experience or a keen interest in coaching, training delivery, and professional development in a solutions-focused environment would be highly advantageous for this position.
About You
The ideal candidate will possess strong communication skills and a proven ability to build effective relationships with a variety of stakeholders, including academic staff, professional service teams, and external suppliers. You will also act as a representative for the department in meetings and committees, ensuring clear and effective communication channels.
You will have demonstrable experience in:
- Enhancing and improving processes to meet user requirements.
- Designing, developing, and implementing core business systems.
- Analysing complex data, identifying and resolving issues, and embedding more effective work practices.
Additionally, you’ll be adept at maintaining high standards while monitoring and managing performance, and you’ll actively engage in ensuring the efficient use of timetabling systems. Experience with Scientia (TechnologyOne) or other relevant timetabling systems is highly desirable, as the role may require hands-on involvement in timetable management at critical points during the academic year.
Working Environment
We value flexible working arrangements wherever possible. Staff are expected to balance home and campus-based work to align with the needs of students, staff, and stakeholders. The standard expectation for this role is a presence on the Canterbury campus for three days per week and working from home for two days per week (or equivalent for pro-rata roles).
